- General Cancellation Condition
- Any cancellation request must be submitted to Travokash Private Limited (“Travokash”) in writing through the authorised communication channel. Cancellation shall be considered effective only after written acknowledgement/confirmation by Travokash.
A verbal request, message to an unauthorised person, or failure to travel shall not by itself constitute a confirmed cancellation.
2.
Cancellation ChargesCancellation charges shall be determined based on:
The date on which the cancellation request is received; The applicable cancellation policy of the airline, hotel, transport provider, tour operator or other supplier;Destination and travel dates;Type of fare/rate booked;Whether the service is refundable, partially refundable or non-refundable; andAny applicable government, visa, payment gateway, financing or other charges.
The specific cancellation terms communicated in the quotation, invoice, itinerary or booking confirmation shall apply to that booking, subject to applicable law.
3.
Supplier Cancellation RulesTravel services are frequently provided by independent third-party suppliers. Where a supplier imposes cancellation charges or retains an amount under its applicable terms, Travokash may deduct the actual applicable supplier charges from any amount otherwise refundable to the customer, subject to applicable law.
4.
Non-Refundable ServicesCertain services may be wholly or partially non-refundable, including, where applicable:
Non-refundable airline fares;Promotional/special fares;Non-refundable hotel reservations;Visa/application fees;Travel insurance premiums where the insurer's terms do not permit refund;Certain activity/event tickets;Processing or service charges where expressly disclosed;Supplier deposits;Financing/EMI-related charges; andAny other component expressly identified as non-refundable before booking.
5.
Cancellation After Booking ConfirmationOnce a booking has been confirmed and payment has been made, cancellation shall be subject to the cancellation terms applicable to the particular services purchased.
A refund shall not automatically equal the amount originally paid.
The refundable amount, if any, shall be calculated after deducting applicable cancellation charges and other amounts permitted under the applicable booking/supplier terms.
6.
Cancellation Close to DepartureCancellation made shortly before the scheduled travel date may result in higher cancellation charges or complete loss of the applicable booking amount depending upon the supplier's rules.
Where the supplier's policy provides for 100% cancellation charges, no supplier refund may be available.
7.
No-ShowIf the customer fails to appear for a flight, hotel check-in, transfer, sightseeing service, activity or other confirmed service without cancelling in accordance with the applicable cancellation procedure, the booking may be treated as a No-Show.
No-show bookings may be non-refundable and/or subject to applicable supplier charges.
8.
Partial CancellationWhere only part of a booking is cancelled, the refund shall be calculated only in respect of the cancelled component and shall remain subject to the applicable supplier terms.
Cancellation of one component does not automatically cancel the remaining components.
9.
Modification vs CancellationA request to change travel dates, passenger details, hotel, flight, itinerary or other booking component may be treated as an amendment/rebooking rather than a cancellation.
Such amendment may be subject to fare difference, supplier amendment charges, taxes, service charges and availability.
10.
Visa Rejection / DelayVisa fees, application fees and other charges paid to an embassy, consulate, government authority or visa service provider may be non-refundable, regardless of whether the visa is approved, refused or delayed, subject to the applicable authority/provider's rules.
Visa approval or issuance is outside Travokash's control.
11.
Airline Cancellation / Schedule ChangesWhere an airline cancels, reschedules or materially changes a flight, the applicable airline's rules and available remedies shall apply.
Travokash may assist the customer with rebooking, refund or alternative arrangements where available, but the final availability and applicable conditions remain subject to the airline and relevant supplier.
12.
Force Majeure / Unavoidable EventsWhere cancellation or disruption occurs due to circumstances beyond the reasonable control of Travokash, including natural disasters, war, civil unrest, government restrictions, epidemics/pandemics, strikes, severe weather, border restrictions, airline disruption or other extraordinary events, the applicable supplier, airline, hotel, insurer or authority terms shall apply.
Travokash shall provide reasonable assistance in coordinating available alternatives or refunds, subject to amounts actually recoverable from the relevant suppliers and applicable law.
13.
Refund CalculationWhere a refund is applicable, the refundable amount may be calculated as:
Amount Received – Applicable Cancellation Charges – Non-Refundable Components – Applicable Charges/Deductions = Net Refund
The exact calculation shall depend upon the confirmed booking and applicable supplier terms.
14.
Refund ProcessingApproved refunds shall generally be processed after Travokash receives/settles the corresponding refundable amount from the relevant supplier/payment partner, where applicable.
The processing timeline may therefore depend upon the airline, hotel, supplier, payment gateway, bank or financing partner.
15.
Refund MethodWhere permitted, refunds shall normally be processed through the original payment method or another method agreed/required by the applicable payment provider.
Travokash shall not be responsible for delays attributable solely to banks, payment gateways, suppliers, airlines or other third parties.
16.
EMI / Financing BookingsCancellation of a travel booking financed through an EMI/financing provider does not automatically cancel or extinguish the customer's separate financing obligations.
Any reversal, refund, interest, processing fee or adjustment shall be subject to the terms of the respective financing provider and applicable law.
17.
Special Promotional PackagesPromotional, discounted, group, charter, fixed-departure or specially negotiated packages may have special cancellation and refund conditions.
Such conditions shall be communicated in the applicable quotation/booking documents and shall apply to that booking, subject to applicable law.
18.
Cancellation by Travokash / SupplierIf Travokash or a supplier is required to cancel a service, Travokash shall communicate the available options to the customer and, where applicable, assist with an alternative arrangement or refund in accordance with the applicable supplier terms and applicable law.
19.
Customer's ResponsibilityThe customer is responsible for reviewing the cancellation conditions applicable to the booking before making payment and for submitting cancellation requests within the applicable timelines.
20.
Specific Booking Terms PrevailThe cancellation and refund conditions specifically mentioned in the quotation, invoice, itinerary, booking confirmation or supplier confirmation for a particular booking shall prevail over this general policy to the extent of any difference, subject to applicable law.
21.
No Waiver of Statutory RightsNothing in this policy is intended to exclude or restrict any statutory right or remedy available to the customer under applicable law. If any provision is found to be unenforceable, the remaining provisions shall continue to apply to the extent legally permissible.
CUSTOMER ACKNOWLEDGEMENT“I/We confirm that I/we have reviewed the applicable cancellation and refund conditions before making the booking and understand that cancellation charges and refund eligibility may vary depending upon the services booked and the applicable supplier terms.”
